In this guide, you’ll learn about 3 options
for sponsoring refugees to Canada.
A group of five (G5) is 5 or more Canadian citizens or permanent residents who have arranged to sponsor a refugee living abroad to come to Canada.
Group of 5s can only sponsor applicants that are considered refugees by either the United Nations Refugee Agency (UNHCR) or by the government of the country where the refugee resides.
As proof of refugee status, it is required that sponsors provide a Refugee Status Determination Document with their application. A photocopy of the original document is accepted.
Collectively, the sponsors must provide a settlement plan detailing how the refugee’s needs will be met once they arrive in Canada.
Group of 5 members must reside in the same community as where the refugee is expected to arrive. The sponsors must also agree to provide the refugees with settlement support (usually 1 year). Before moving forward, sponsors are to make sure they’re eligible.
Sponsors must complete all required forms with a computer. The forms should not be filled out by hand--except date and signatures. Note: Signatures should not be typed on the computer. Use electronic signature or sign after printing.
Once all required documents are prepared, sponsors are encouraged to keep one copy of all documents and forms (1 copy of the application) for their own records and submit another copy to Resettlement Operations Center Ontario (ROC-O).
Note: Application can be sumitted to Resettlement Operations Center Ontario (ROC-O) by either mail or E-mail. Sponsors should not submit the application via both methods.Submitting twice (via both methods) may delay processing time. It is recommended to submit the application by E-mail for faster processing.
If a group member submits the application via E-Mail, they are expected to receive an auto-reply E-Mail within 48 hours--confirming that Resettlement Operations Center Ontario (ROC-O) has received the application.
Once Resettlement Operations Center Ontario (ROC-O) receives and reviews the application, and the application is not missing forms or signatures, an Acknowledgement of Receipt (AOR), along with an Application Number (or G Number) will be sent to the sponsors via E-Mail.
Note: In case that a submitted application lacks forms or signatures, the sponsors will be notified by E-Mail (if submitted by E-Mail) or sponsor 1 (on Sponsorship Undertaking Form) will receive a returned application package.
An officer will review the sponsorship application to ensure that it meets all Immigration and Refugee Protection Regulations (IRPR) requirements. The group members will recieve a final decision in the form of an approval or refusal notice via E-Mail.
Once an application is approved by Resettlement Operations Center Ontario (ROC-O), they will send the application to the responsible visa office abroad for consideration by a visa officer.
Sponsors can check the status of their application using their Application Number (G Number) with online Client Application Status Tool or by viewing the general options for Status Check .
In case of an E-Mail application, sponsors may contact Resettlement Operations Center Ontario (ROC-O) for application status update if an auto-reply was not received by the sponsor members within 48 hours of submission.
In case of mailed application, sponsors may contact ROC-O for application status update if they do not hear back from ROC-O within 60 days. In any case, ROC-O can be contacted for status update if 8 months have passed since Acknowledgement of Receipt was received by the sponsors and no decision was communicated.
Sponsors are required to support the applicants for the duration of the sponsorship period (listed on sponsorship undertaking form).
Once the refugees arrive in Canada, sponsors are responsible for assisting in basic necessities such as housing, food and transportation for the duration of the sponsorship period or until the refugees are financially self-sufficient (whichever comes first).
Once settled, sponsors are to inform the refugees of language, training and employment services accessible to them--within their residing community.
Community Sponsors can be organizations, associations and/or corporations that sponsor refugees to come to Canada. Community Sponsors are not required to be provincially or federally incorporated.
